Legal Office Coordinator

We're looking for an organized, personable Legal Office Coordinator to be the operational backbone of our firm. This is a client-facing role at its core — you'll be the first voice many clients hear and the person who ensures their experience with Apricity is seamless from first contact to engagement. You'll also keep our internal operations running smoothly so our attorneys can focus on client work.

No prior legal experience is required. We'll train the right person. What we can't train is professionalism, warmth, and genuine follow-through.

WHAT YOU'LL DO

  • Manage client intake — answer calls and emails, gather information, run conflict checks, and open new matters in our practice management system (Clio)

  • Schedule consultations and coordinate calendars across the team

  • Prepare and send engagement letters and routine client correspondence

  • Maintain organized digital files and matter records

  • Support attorneys with document formatting, printing, and coordination

  • Handle day-to-day office needs and vendor communication

WHAT WE'RE LOOKING FOR

  • 2+ years in a client-facing coordination, office management, or administrative role — legal, medical, real estate, or hospitality backgrounds all translate well

  • Strong written and verbal communication — you represent the firm

  • Comfortable with technology; experience with Clio, Microsoft 365, or similar tools is a plus

  • Detail-oriented and reliable — you catch things before they become problems

  • Discreet and professional when handling confidential client matters

  • Able to work independently and manage competing priorities without constant direction

COMPENSATION & DETAILS

  • $22–$28/hr depending on experience

  • Full-time; in-office in Truckee with hybrid flexibility considered for strong candidates

  • PTO and paid holidays

  • Collaborative, low-bureaucracy environment with direct access to firm leadership

To apply: Send a resume and a brief note (a paragraph is fine) telling us why this role fits where you are right now to info@apricitylegal.com. Applications without a note will not be considered — we want to hear your voice, not just your resume.
